General (juried) assessments are managed through workflows. These are designed to allow one or more scorers to assess student work against outcomes using an associated rubric.
A workflow can be created to assess one of GenEd, External or Program outcomes.
Each workflow can contain two steps, the first of which is optional: (1) Uploading Student Artifacts and (2) Scoring.
Artifacts can be uploaded centrally via batch import or requested or teaching faculty*.
*Applies to those workflows where the student source is Course Sections (see below).
The source of students in a workflow can be either from Course Sections, Open List or LMS Transfer*. The default student source for a workflow can be set. See Control Panel > Settings > Workflows.
If the source is an Open List and artifacts are required, these must be batch imported. See the publication "Xitracs Data Import Guide" for details on file content.
*The LMS Transfer option is only available in those systems where an LMS Connector is installed.
Once a workflow is started, each step is assigned to the relevant user (i.e. teaching faculty and/or scorer) for action via the Xitracs Portal, at which time an email task request will be generated.
1.Click on the Workflows Tab
2.Click the Create a new GenEd Outcome, External Outcome or Program Outcome link
3.Enter a Name for the workflow, e.g. SP2019-Assmt01
4.If this is a Program Outcome assessment, select the Program to which it relates
5.Select the Student Source
6.Select the semester to which the workflow relates. (If student source is Course Sections, this will also determine from which course section(s) students can be selected).
7.Enter a Report Due date in the format MM/DD/YYYY. The default value is 3 months from the date the workflow is created.
8.Enter the number of student artifacts that will need to be uploaded. Check if artifact upload is to be Optional. If this number is set to zero, the Upload Artifacts step will be skipped.
The optional parameter applies only to workflows where the student source is Course Sections.
If the student source is Open List, all artifacts must be batch uploaded.
9.Enter an Artifacts Due date in the format MM/DD/YYYY. The default value is 1 month from the date the workflow is created (if applicable).
10.Optionally, enter artifact upload instructions which will be displayed with the task to the faculty teaching the selected course section(s) (if applicable).
11.Enter an Scores Due date in the format MM/DD/YYYY. The default value is 2 months from the date the workflow is created.
12.Optionally, enter scorer instructions which will be displayed with the task to the selected faculty scoring the artifacts
13.Click Submit
The new workflow will be added to the workflow list for the selected semester; the status will be Not started - Incomplete details
Click the Details link next to the listed workflow to complete the required information.
