Program Assessment Field Sets

This function provides the tool to build forms that may then be used to assess a program. Assigning a field set to a program occurs when the program is started.

A program assessment field set should normally include one field that is the Learning Outcome (see step 3 below). This is to allow an assessor to select from the available outcomes in an assessment cycle.

Only one field in the set can be the outcome and this must be a top-level field.

To Create a Program Assessment Field Set

1.Click Create a field set.

2.Enter a Name and optional Description for the set.

3.Select the field-set Type: List, 3 Column, 4 Column or 5 Column. This determines the layout when the report is generated.

For a columnar fieldset, refer to the instructions below.

4.Check whether the field set is to be available, i.e. selectable when a new program is created.

5.Click Submit.

Once you have created the field set, you now need to add the fields.

1.Click the Fields link next to the new set.

2.Click the Add a field link.

3.If the field is a Learning Outcome, check the outcome parameter.

If a field is an outcome, the assessor will be able to select and add an available outcome.

The Edit box for an outcome field can be disabled. See Control Panel > Program Settings. Note this is a global setting for all fieldsets.

4.Enter a Name and optional Description for the field.

5.Select the field Type. This determines the type of response required. (Defaults to Text if the field is a program outcome - see above).

6.Check the Allow Attachments box to allow a respondent to upload files in support of the input.

7.Select whether a field will be Repeatable. If selected, respondent will be able to create other instances of the field, e.g. create a new objective.

If a repeatable field has child rows, these will also be repeated. In the example below, creating an new objective will also create an associated Outcome, Metric and Result field.

8.Check the Links box to allow a respondent to link a Program Outcome, External Outcome, GenEd Outcome or Plan (if the Planning Module is installed) to the field.

If a field is a learning outcome (see 3 above), the respondent will not be able to link to another outcome.

If the Links option is checked and the field is not a Learning Outcome, you can optionally check the Link-only field parameter. In this case, no Edit function is provided in the portal.

9.Check the Approval Status box to allow a peer reviewer to select a status (e.g. Approved) for a field. (See below re specifying status selections).

10.Enter an optional field Key if appropriate. You can use this to define a unique key value to a field for report analysis when output is to a spreadsheet.

11.Check the Optional box if a respondent can mark the field as Not Applicable.

12.Select the Assessment Cycle to which the input relates, and in which the field will be open to respondents. (See also Next Cycle parameter setting below).

In the example below, Field 7 Reflection is set to be open for input to the prior cycle, so this data can be added after the cycle has closed.

13.If the autocode feature is enabled on your system, check the Autocode parameter if you want the system to generate a unique code when this field is first edited.

Available for text and rich-text fields only

14.If the assessment module is enabled on your system, check the Result parameter to identify the field where outcomes assessment data will be added.

15.Click Submit.

 

To a create a child field, click the Add link next to an existing field. See Goal and Objective in the example below.

Note: A Rich text field type includes a text editor in the response entry area.

 

For fields that require a selection as a response, you will need to set the parameters.

1.Click on the Parameters link next to the new field.

2.Click Create a field parameter.

3.Enter the parameter details. The details will differ depending on the parameter type.

4.Click Submit.

5.Add additional parameters if appropriate.

 

icon_alert2 Caution! Deleting a field will remove the field and associated response data from all cycles. Use the range function instead (see below).

 

Field Range Setting

If your Xitracs system supports the program field range function, you will be able to set the start and/or end cycle for a field.

Fields will only appear when they are within a designated range.

Contact Xitracs Support if this feature is no enabled on your system.

 

To set a range

1.Click on the Range link next to the relevant field

2.Select the start and/or end cycle(s)

3.Click Submit

 

icon_alert2 If you select a parent field that has children (for example Field #3 below), the child fields will be included in any range setting.

Other Program Field Set Options

Click the Edit link next to a program field set to select additional options.

1.Check the Next Cycle parameter to have fields in this cycle always open.

2.Check the Approval parameter to enable the Peer Reviewer approval workflow feature for this field set.

 

 

Field Approval Status

A field Approval Status may be specified, such that a peer reviewer can set a field status (e.g. Approved) using the Comments function in the portal.

1.In the Manage Program Assessment Field Sets view, click the Manage field-level approvals link.

2.Add or Edit status options as required.

3.Check the Successful parameter if a status option is to be marked as successful (e.g. Approved).

4.Click Submit.

 

Columnar Field Set

With a columnar fieldset you can output specific contiguous fields under a learning outcome field in 3, 4 or 5 columns.
